Basic Policy on Protection of Personal Information concerning Customers, Business Partners and Other Individuals

Nippon Electric Glass Co., Ltd (“the Company”) manufactures and sells specialty glass products and glass manufacturing equipment. Recognizing the importance of protecting personal information pertaining to its customers, business partners, and other individuals handled by the Company during the course of its business activities, the Company will protect personal information in accordance with the policy stated below. The Policy for the handling of personal information related to labor management is established separately.

  1. When handling personal information (meaning information concerning individuals by which an individual can be identified; hereinafter “Personal Information”), the Company will comply with the Personal Information Protection Law, Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure and other laws and regulations related to the protection of Personal Information, the obligations specified in guidelines issued by the competent minister or the Specific Personal Information Protection Commisison (the Personal Information Protection Commission), and this Basic Policy.
  2. The Company will define the scope of the use of Personal Information as far as possible and the Company will handle Personal Information only within the defined scope of use, except with the consent of the subject individual of the information (meaning the particular individual identified by the Personal Information in question; hereinafter “Subject Individual”) or except in exceptional cases resulting from application of relevant laws or regulations.
  3. When obtaining Personal Information, the Company will obtain it by appropriate means and, except in exceptional cases resulting from application of relevant laws or regulations, announce the purpose of use prior to acquisition. Alternatively, the Company may announce such purpose or notify the relevant subject individual regarding the same promptly after acquisition. However, if Personal Information is obtained directly from the subject individual in writing, the purpose of use will be specified in advance, unless the purpose of use is already evident in light of the conditions under which such information is obtained. Any Individual Numbers will not be used except for the purpose of use announced in advance.
  4. The Company will seek to maintain the accuracy of and update the personal data it handles (meaning the Personal Information constituting Personal Information databases, etc.; Personal Information databases mean collections of information which include Personal Information, such as electronic databases and blue books, designated by orders as systematically structured to facilitate the retrieval of particular items of Personal Information) within the scope of the purpose of use. The Company will also implement necessary and appropriate measures and supervise its employees and contractors to secure the control of the personal data.
  5. The Company will not provide personal data to any third party without the prior consent of the subject individual, except in exceptional cases specified by relevant laws and regulations.
  6. In accordance with the provisions of relevant laws and regulations, the Company will accept requests from the subject individual to disclose or correct, augment, delete, or suspend use of, suspend provision to third parties of, or erase (hereinafter “amend”) , or to indicate the purpose of use of retained personal information (meaning Personal Information that the Company is authorized to disclose or amend, excluding Personal Information designated by a cabinet order as information the disclosure of which would be detrimental to public or other interests, or Personal Information that will be erased within six months; hereinafter “Retained Personal Information”).
  7. The Company will respond promptly and appropriately to any complaints from the subjects individual concerning the handling of their Personal Information by the Company, and the Company will seek to establish an internal system for this purpose.
  8. The Company will implement appropriate internal audits with respect to the Personal Information that it handles, and make other efforts to continuously improve this Basic Policy.


Matter Required to be disclosed by the Personal Information Protection Law with respect to Personal Information of Customers, Business Partners and Other Individuals

We hereby announce matters related to personal information concerning customers, business partners, and other individuals regarding which disclosure to or ready accessibility by the subjects individuals thereof is required by the Personal Information Protection Law. For Personal Information related to labor management, we will separately set matters regarding which announcement to or ready accessibility by the subjects individuals is required by the Personal Information Protection Law.
(The terms used herein have the same meanings as those in the Basic Policy on the Protection of Personal Information concerning Customers, Business Partners and Other Individuals)

    • (1)Purpose of use of Personal Information handled by the Company during the course of business activities
      1. (ⅰ)Manufacture, design, processing, development, sales, installation, repair, and inspection of Company products
      2. (ⅱ) Notification and announcement regarding new Company products and exhibitions, services, etc., related to the Company products, and questionnaires, etc., related to Company products
      3. (ⅲ)Manufacture, design, processing, development, sales, installation, repair, and inspection of machinery, equipment, and apparatuses related to Company products
      4. (ⅳ)Activities under a contract with the subject individual or with an organization to which he or she belongs
      5. (ⅴ)Response to applications or requests from the subject individual
      6. (ⅵ)Personal authentication of the subject individual
      7. (ⅶ)Activities business entities are required to perform by laws and regulations
      8. (ⅷ)Other activities incidental to the activities set forth in (ⅰ) to (ⅶ) above
      9. (ⅸ)Management of the activities set forth in (ⅰ) to (ⅷ) above
    • (2)Purposes of use of Individual Numbers handled by the Company
      1. (ⅰ)Payment record preparation affairs for compensations and fees, etc.
      2. (ⅱ)Distribution of dividends and surplus and payment record preparation affairs for interest on funds
      3. (ⅲ)Payment record preparation affairs for real estate rentals, etc.
      4. (ⅳ)Payment record preparation affairs for the compensation for the acceptance of the transfer of property, etc.
      5. (ⅴ)Payment record preparation affairs for commissions for real estate purchase and sales or lease transactions
      6. (ⅵ)Other affairs to be executed by the Company as an executor of individual number-related affairs, which fall under any of the provisions in Artcle 19 of Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure
  1. Matters related to shared use
    To the extent permitted by laws and regulations, the Company will provide personal data to a certain third party for shared use without the prior consent of the subject individual in the exceptional cases described below, provided that, the Company will not make the Individual Numbers available for shared use.
    * Shared use with subsidiaries (companies of which the Company holds more than 50% of voting rights)
    1. Personal Information that contains his or her name, names of his or her organization or section, his or her title, the postal code of his or her organization, his or her address, his or her telephone number, extension number, cellular phone number, facsimile number, or email address, or other items of information similar to those listed above will be shared with subsidiaries within the scope of the purpose of use specified in Section 1 of this announcement. Responsibility for such personal data will rest with the Company.
  2. Matters related to Retained Personal Information handled by the Company during the course of business activities
    1. (1)Name of business entity handling such personal information (i.e., the Company)

    3. (3)Purpose of use of Retained Personal Information including Individual Numbers the Company handles

    4. (4)Procedures for responding to requests to disclose or amend Retained Personal Information, or to indicate the purpose of use of Retained Personal Information, in cases in which a response is made to complaints concerning Retained Personal Information.
      1. (ⅰ) Application for requests, etc.
        1. For any request to disclose, amend, or indicate the purpose of use of Retained Personal Information or to register any complaints concerning Retained Personal Information, please complete and mail a Request for the Disclosure of Personal Information to the address below (the sender is responsible for all postage). After confirming that the claimant in question is the subject individual of the relevant information or his or her legal representative, the Company will respond to a request or complaint in good faith within a reasonable timeframe.       2. (ⅱ)Procedure for confirming that a claimant is a subject individual on his or her representative
        1. a.If a claimant is a subject individual

          A copy of an identification form issued by a public institution (a certificate of residence, driver’s license, health insurance ID card, or passport) should be mailed to the contact above (note that the sender is responsible for postage).

        2. b.If a claimant is a representative of a subject individual

          Such requests and complaints may also be submitted by a representative of a subject individual. In such a case, power of attorney with a seal registration certification for the seal of the subject individual affixed thereto and copies of identification for the subject individual and for the representative issued by a public institution (ex. certificate of residence, driver’s license, health insurance ID card, or passport) should be mailed to the contact specified in 3.(4).(ⅰ) above (note that the sender is responsible for postage).

      3. (ⅲ)Handling fees

        800 yen will be charged for each request only for disclosure or indication of purpose of use. Please send postage stamps totaling 800 yen in value to the contact specified in 3.(4).(ⅰ) above along with documents specified in 3.(4).(ⅰ) or (ⅱ) above.

  3. Additional matters

    Should the Company separately indicate to a subject individual, any other purpose of use or contact individual, etc. in notices to or use conditions for the subject individual or by other methods approved by him or her, such other purpose of use shall supersede the relevant purpose of use described above.
